The National Adminstration Office
What is the UAP Admin Office?
The Administration Office is the central coordinating body the UAP, under the general supervision of the National Board, through the Executive Committee and under the direct supervision of the Secretary General.
As members of the Administration Office of the United Architects of the Philippines, the Integrated and Accredited Professional Organization of Architects (UAP-IAPOA) all employees are responsible for sustaining the highest ethical standards of this professional organization, and of the broader UAP community in which the Administrative Office function. The UAP-IAPOA values integrity, honesty and fairness and strives to integrate these values into its service to the whole UAP Community, thus each employee is required to sustain such standards.
What are the General Functions of the UAP Admin Office?
- Administer and manage the day to day operations of the UAP in accordance with its programs and policies;
- Establish systems of communication and shall organize, operate and supervise over all information and publications of UAP for proper dissemination to the membership.
What is the organization structure of the UAP Admin Office?
The Administration Office, under the direct supervision of the Secretary General, shall be headed by an Administrative Officer (AO) and assisted by in-charge of the different divisions, namely:
- Admin Division
- Finance Division
- Membership Division
- Coordination Division
General standards of conduct and performance apply throughout the UAP Administration Office. Violation and/or failure to adhere to these may result in disciplinary action, up to, and including, termination. These standards include, but are not necessarily limited to, the following:
- Each employee is to spend the work day effectively -- by performing the proper tasks safely, competently and in a timely manner and demonstrating an awareness of priorities.
- Each employee is to spend the work day efficiently -- by performing each task quickly, safely and well.
- Each employee is to comply with UAP administrative policies and procedures.
- Each employee is to be at work when scheduled (for example, to attend work regularly, not to arrive late, not to abuse sick/vacation leave or lunch periods, and not to leave early without appropriate approval).
- Each employee is to notify the Administrative Officer of an unscheduled absence no later than one hour after the scheduled time to report to work, or in accordance with this Manual.
- Each employee is to work during working hours (for example, keeping personal phone calls to a minimum and not attending to personal matters during work hours).
- Each employee is to cooperate with reasonable requests from co-workers.
- Each employee is to perform reasonable job duties, even if not part of the job description, as assigned by the National Officers, Administrative Officer or any person authority.
- Each employee is to respect the confidentiality of sensitive information. Such information should not be repeated, discussed or removed from the work area except for legitimate work reasons.
- Each employee is to give proper notice of termination of UAP service.
- Each employee is to safeguard personal property. (The UAP maintains a security service for protection but cannot guarantee the safety of personal property.)
- Each employee is to respect the property of others and of the UAP and to use UAP property only for legitimate work purposes (e-mail, facsimile machines, computers, copiers and other UAP equipment). Taking of property belonging to others or the UAP will not be tolerated.
- Each employee is to maintain appropriate work place behavior that fosters collegiality and team work. Without these qualities, the UAP cannot achieve its goal in an effective and efficient manner.
- Each employee is to utilize internal resources to resolve employment problems (discussion with person in authority, national officers, administrative officer, etc.)
- Each employee is to know the legal duty associated with UAP employment and to perform the duties accordingly; conduct that conflicts with the interest of the UAP will not be tolerated.
- Each employee is to respect the rights of others (for example, not to threaten or to endanger any person's life or health, either deliberately or through carelessness).
- Each employee is to be courteous towards fellow employees, national and local officers, persons in authority, and visitors. Disruptive, discourteous and/or insubordinate conduct will not be tolerated.
- Conduct that causes or threatens harm to others or that constitutes persistent, unwanted behaviors will not be tolerated.
- The UAP does not restrict any personal activity if it does not involve the UAP name, property, facilities or materials.
The Mission
United Architects of the Philippines National Secretariat mission is to "continually exceed UAP members' increasing expectations." This commitment is founded on our belief that member satisfaction is the source of employee, shareholder, community benefits. Satisfied members enable us to enhance our professional and development growth.
Striving to exceed the expectations of members, rather than just meeting their requirements, is consistent with our objective to be a central coordinating body of the UAP-IAPOA. We also recognize that member expectations are always increasing; continuous improvement, therefore, is essential.
So our focus is on achieving continuous improvement in quality, service, productivity and time compression. It is our goal to continuously improve the services we provide the members of the UAP-IAPOA.
